Privacy Policy for PT Client Manager

Overview

PT Client Manager ("the App") is a personal trainer business and client management tool. This Privacy Policy explains how the App handles information.

Important: PT Client Manager is an independent third-party tool. It is NOT affiliated with, endorsed by, or operated by the IRS, any state revenue agency, or any government entity. The standard mileage rate ($0.70/mile, 2026 IRS business rate) and all tax-related figures are provided for reference only — verify with the IRS and your tax professional before filing.

Data We Collect

Stored locally on your device only:

Client profiles (name, contact, goals, birthday, notes) that you enter
Workout templates, exercises, sets, reps, weight, RPE, tempo, rest
Body measurements, progress photos, and strength PRs
Session calendar entries (date, time, status, notes)
Payment records and method (cash, Venmo, etc.)
Business expense entries and mileage logs
Meal plan structures and entries
PAR-Q answers and signed waiver images
App preferences, theme, and Pro purchase status

No personal trainer or client account is required — no sign-in, no email, no cloud account.

Client Data Responsibility

Information you enter about your clients (their names, contact info, goals, measurements, waiver signatures, photos) is your responsibility as a personal trainer. You must:

Obtain your clients' consent before entering their personal data into the App
Comply with applicable privacy laws in your jurisdiction (GDPR, CCPA, PIPEDA, etc.)
Provide your own privacy notice to your clients about how you store and use their information

All client data stays on your device. PT Client Manager does NOT upload, sync, or transmit any client information to any server.

Google AdMob (Free Tier Only)

Free users see banner, interstitial, and app-open ads served by Google AdMob. AdMob may collect:

Device advertising ID (for ad targeting)
General usage data for ad optimization

Upgrading to Pro removes all ads permanently. See Google's Privacy Policy for AdMob details.

Google Analytics (Firebase Analytics)

We use Firebase Analytics to collect anonymous, aggregated usage data:

Screen views and navigation patterns
Feature usage (which tools are used most)
Crash reports (to improve stability)
NO personal identifiers are collected

In-App Purchases

Pro purchases are processed by Google Play. We receive only confirmation that a purchase was completed. We do NOT receive:

Credit card or payment details
Billing address
Google account information

Photos and Waiver Signatures

Progress photos imported via camera or gallery, and PAR-Q waiver signature images, are stored locally in your device's app documents directory. These files are never uploaded to any server. Deleting a photo or waiver in the App or uninstalling the App removes them from your device.

Data Sharing

We do NOT sell, trade, or share your or your clients' data with third parties, except:

Google (AdMob, Analytics, Play) as described above
When required by law

Data Retention

All client, workout, payment, expense, and mileage data is stored locally on your device. Uninstalling the app deletes all local data. To request deletion of any analytics data, contact us below.

Children's Privacy

This app is intended for use by personal trainers and is not directed at children under 13. We do not knowingly collect personal information from children.
